Job Description

The Role

This fluently bilingual individual will have exceptional organization skills, good writing skills, and a keen eye for detail. The ideal candidate thrives in a busy, always changing environment and represents the office of the President & CEO in a professional, pleasant manner.

Primary Responsibilities:

Office of the President:

  • Provide administrative support to the President & CEO, CPAC Board of Directors and other members of the management team;
  • Coordinate and manage meetings and events in a timely and organized fashion;
  • Exercise discretion and diplomacy when liaising with key internal and external stakeholders;
  • Prepare and/or finalize internal and external presentations and scheduling documents in a creative and precise manner using PowerPoint;
  • Create and/or update spreadsheets in Excel;
  • Coordinate meetings for the CPAC Board of Directors, including preparation of board documents, dissemination of materials, booking rooms or conference calls, ordering catering and audio-visual equipment;
  • Coordinate staff events;
  • Collect, chase, collate and distribute monthly and quarterly reports;
  • Provide accurate word-processing support by composing and/or editing a variety of documents including highly confidential correspondence;
  • Arrange all travel including air, hotel, and car reservations, prepare itineraries and ensure bookings adhere to the corporate travel policy;
  • Handle day-to-day purchasing of goods according to company procedures;
  • Support management team as needed.

Viewer and Affiliate Services:

  • Responds to viewer inquiries regarding programming, provide appropriate responses to viewer concerns and complaints and refer matters that require follow up to the relevant Manager or Director;
  • Respond to web and telephone requests for programming/footage, coordinate the dubbing of material, signature of footage licenses if applicable and online delivery or shipping;
  • Coordinate responses to inquiries on accessibility;
  • Supports affiliate activities including managing affiliate contract distribution, coordinating assistance on technical issues, and arranging receiver authorizations;
  • Compile Viewer Services reports on a monthly and annual basis for inclusion in the annual report on cultural diversity;
  • Works alongside the Communications and Marketing Manager to coordinate, manager and distribute promotional inventory and source purchases for other departments as required;
  • Other duties as required.

Qualifications (knowledge, skills and experience required):

  • Bilingualism (French and English) is a requirement;
  • Completion of University or College degree or equivalent in experience;
  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information;
  • Proven advanced technical competence with MS Office (Word, PowerPoint, Excel) and electronic mail in order to create effective presentations, documents and spreadsheets;
  • Strong organizational skills with a proven ability to prioritize.
  • Excellent interpersonal and communication skills, both verbal and written;
  • Proven ability to work effectively under pressure in a fast-paced environment;
  • A high level of attention to detail, accuracy, and follow-up;
  • Proven ability to work in a team environment and independently with minimal supervision;
  • Maintains an environment that recognizes, supports, respects and welcomes diversity of employees.
