Manager, Operations and Administration

The Canadian Broadcast Standards Council (CBSC) has an opening for a Manager for Operations and Administration. Reporting to the Chair of the CBSC, and occasionally the Senior Policy Director, the successful candidate will be responsible for day-to-day management of the operations and administration of the Council office.

About the Role

Reporting to the Chair of the Canadian Broadcast Standards Council for most duties, and occasionally to the Senior Policy Director, you will be responsible for the day-to-day operation of the office.

Responsibilities:

Manage the principal operations of the Council office, including:

• Administrating the CBSC website, including logging complaints; coding all panel decisions and media decisions; and updating and modifying content when necessary
• Digitizing loggers; making physical copies or altering format of loggers when required; and maintaining the logger tape library
• Preparing preliminary budget requirements for the CBSC Chair; categorizing and approving bills; coordinating association fee invoices for non-CAB members; coordinating User Fee invoices; coordinating significant benefits applications; and ongoing reporting of how money received is used;
• Researching external sources such as the CRTC website or media coverage of certain complaints when necessary;
• Maintaining relationships with stakeholders such as Ad Standards, broadcaster associates, and the CRTC; administering correspondence with broadcaster associates and complainants; responding to written incoming correspondence; and responding to queries from broadcaster associates;
• Assisting with processing complaints when necessary; and assisting with drafting documents such as summary decisions and adjudication documents, when necessary;
• Assisting with Audits, as required;
• Assisting the Chair with the organization of CBSC Board meetings including the AGM; assisting the Chair with the organization of the CBSC’s Nominations Committee meetings; and organizing Panel meetings for CBSC decisions;
• Maintaining the broadcaster and contacts database; assisting with the maintenance of existing the CBSC database, and assisting, as required, with the implementation of changes needed to the database under the direction of the Chair and the Senior Policy Director
• Distributing all CBSC media releases; and maintaining the Media release distribution list;
• Coordinating with third-party IT supplier to manage office equipment, software, website and Internet issues;
• Managing issues related to the phone system;
• Managing and ordering office supplies;
• Keeping the Chair and Senior Policy Director apprised of operations; and,
• Performing other related duties as required.

About You

What We Need From You:

• Minimum of two years’ experience as an office manager reporting to a senior manager
• Experience with supervision of employees
• Experience with managing major projects
• Experience developing budgets and keeping office budgets on track
• Experience managing and resourcing IT needs for an office
• Ability to draft correspondence
• Excellent organizational skills with strong attention to detail
• Ability to cope with heavy workload and to handle competing priorities
• Excellent speaking and listening skills
• Superior knowledge of MS Word, Excel, and PowerPoint
• Positive, friendly manner and customer service approach that will enable successful candidate to deal with challenging situations with empathy and sincerity
• Enthusiastic self-starter
• Ability to work independently with minimal supervision
• Experience with naming conventions and data base management would be an asset
