Our Public & Regulatory Affairs team at head office is seeking an Administrative Assistant who is well organized and passionate about their work to support their daily operations and their activities related to communications, public affairs and regulatory affairs.

A typical day

Perform administrative duties required for the department’s operations:
Code invoices payable and track expenses ;
Answer calls and handle correspondence related to the Public & Regulatory Affairs Department ;
Manage managers’ calendars, travel arrangements and expense accounts ;
Coordinate Public & Regulatory Affairs management meetings (invitations, room bookings, agendas, minutes, follow-up) ;
Record and track vacation time and absences.
Support the Communications and Public Affairs teams with coordination of various files related to their services and with the organization of corporate events and activities:
Coordinate the convergence committee (invitations, attendance, agendas, minutes, and follow up on various requests) ;
Update the department’s various calendars ;
Manage Quebecor’s email inbox ;
Support the team with media requests and the media watch.
We are looking for

Diploma of College Studies (DEC) in office system technology, studies in communications or relevant experience ;
Minimum 5 years’ relevant experience in a similar position ;
Excellent French and good command of English, written and spoken ;
Ability to prioritize, sense of initiative ;
Discretion, sound judgement, respect for confidentiality ;
Independence and integrity ;
Strong interpersonal skills ;
Comfortable working to tight deadlines in a dynamic, fast-moving environment ;
Well organized, flexible.
